Job Title: Travel Operations Coordinator / Administrator

JOB SUMMARY:

Genesis Consulting is seeking an experienced, forward-thinking Travel Operations Coordinator / Administrator with a passion for growth and business transformation. The Travel Operations Coordinator / Administrator will support day-to-day travel program operations for the client’s automated, web-based Travel Management System (TMS). This role provides hands-on assistance to travelers, ensures accurate system data management, supports reimbursement processing, and helps maintain compliance with established travel policies.

The Coordinator serves as a frontline resource for booking assistance, expense report support, and issue resolution, working closely with the Travel Program Manager, travel claim audit services, and the customer support desk to ensure a seamless end-to-end travel experience.

DUTIES AND RESPONSIBILITIES:

This role ensures that travelers receive timely, accurate, and policy-compliant support while contributing to the effective operation of the Board’s integrated Travel Management System and reimbursement processes. Duties and Responsibilities include but may not be limited to:

· Traveler Booking & Pre-Travel Support: Assist travelers with reservations, itinerary changes, authorizations, and troubleshooting within the web-based TMS.

· Expense & Reimbursement Assistance: Support preparation and submission of expense reports, ensure required documentation, and coordinate resolution of audit exceptions.

· System & Profile Administration: Maintain traveler profiles, permissions, and data integrity within the TMS and integrated reimbursement systems.

· Policy Monitoring & Escalation: Monitor compliance with travel policies, identify exceptions, and escalate non-adherence as required.

· Operational Coordination: Collaborate with the Travel Program Manager and support desk to ensure seamless, end-to-end travel and reimbursement support.

MINIMUM QUALIFICATIONS/EXPERIENCE:

· Minimum of two (2) years of experience using travel booking tools and/or expense reimbursement systems (e.G., Concur or similar platforms).

· Experience supporting travelers with reservations, expense reporting, and issue resolution.

· Familiarity with travel policy compliance and exception management.

· Strong attention to detail and ability to manage multiple tasks in a deadline-driven environment.

· Excellent customer service and communication skills.

· Experience in a corporate or government travel environment preferred.

MINIMUM EDUCATION:

· Bachelor’s Degree in Computer Science, IT, or related field. Master’s Degree preferred.

REQUIRED CERTIFICATIONS:

· SAP Concur or Travel certifications preferred.
